Join our dedicated General Surgery team and play an important role in ensuring patients receive timely access to specialist healthcare services.
We are seeking an organised, proactive, and customer-focused Clinical Administrator to provide vital administrative support within our busy clinical environment. This role is ideal for someone who thrives in a fast-paced setting, enjoys working collaboratively, and is committed to delivering exceptional service to patients, whānau, and healthcare professionals.
About the Role
As a Clinical Administrator, you will be responsible for coordinating patient bookings, supporting clinic operations, maintaining accurate patient information, and assisting with waitlist management. Working closely with clinical and administrative teams, you will help ensure efficient patient flow and equitable access to healthcare services.
As part of the Administration and Clerical Pay Equity Claim settlement this role has been mapped to National Band 5/Profile 5 Step 1 to 3 (final placement step is dependent on skills, knowledge and experience)

Key Responsibilities
- Coordinate outpatient and inpatient bookings in line with Health NZ and Ministry of Health guidelines
- Support the day-to-day administration of specialist clinics
- Maintain accurate electronic patient records and documentation
- Monitor and manage patient waitlists
- Communicate effectively with patients, clinicians, and colleagues
- Ensure administrative processes align with planned care requirements
- Identify and escalate issues that may impact service delivery
- Provide reception and administrative cover as required
- Contribute positively to a collaborative team environment
About You
To be successful in this role, you will have:
Essential
- A minimum of two years' customer service experience, preferably within healthcare or a similar environment
- Intermediate to advanced Microsoft Office skills, including Outlook, Teams, Word and Excel
- Excellent organisational and time-management skills
- Strong verbal and written communication abilities
- Proven problem-solving skills and the ability to work independently
- Confidence using electronic systems and learning new technologies
Desirable
- Previous healthcare administration experience
- Familiarity with medical terminology
- Advanced keyboard skills
- Experience handling sensitive or confidential information
- Experience working with diverse cultural communities

This is an exciting opportunity to be part of a multi-disciplinary team providing high-quality, patient-centred care in a rural health setting.
Healthcare Assistants are rostered across AM (6:45am to 3:15pm) and PM (2:45pm to 11:15pm) shifts. There may also be opportunities to work overnight shifts on an as-needed basis. Applicants should be flexible and available to work a variety of shifts within a 24/7 service.
About the Role
As a Healthcare Assistant, you will play a vital role in supporting the clinical team to deliver safe and effective care. Working under the delegation of registered clinical staff, you will provide direct patient support and carry out essential administrative and logistical duties within the ward.
Your responsibilities may include:
- Supporting personal cares and activities of daily living.
- Assisting with meal deliveries and ward monitoring during handovers and MDTs.
- Collecting patient lifestyle data and assisting with basic health education.
- Restocking and ordering clinical supplies.
- Acting as a chaperone and assisting with patient flow and communication.
- Maintaining accurate records and supporting administrative tasks such as data entry and appointment coordination.
About you
Essential:
- NCEA Level 2–3 (including passes in English and Maths) or equivalent.
- Excellent interpersonal and communication skills.
- Proven ability to work collaboratively as part of a team.
- Strong initiative, attention to detail, and ability to remain calm under pressure.
- Commitment to patient confidentiality and professional standards.
Desirable:
- NZ Certificate in Health and Wellbeing (Level 3), Health Assistant strand.
- Previous experience in hospital, aged care, or primary care settings.
- Computer literacy and administrative experience.
- Knowledge of the Treaty of Waitangi and a commitment to equity and cultural safety.

About the Role
We are seeking a dedicated Anaesthetic Technician Clinical Coach to join our dynamic team. This pivotal role is designed to provide clinical coaching and support to new staff and trainees, alongside assisting with professional development and education within the Anaesthetic Technician team.
This role has two main areas of focus:
- Support of New Staff and Trainees:
- Work closely with AUT students, RNAA trainees, locum staff, internationally qualified staff, new graduate Anaesthetic Technicians, New Zealand-trained staff new to Waitaha, and staff building their clinical confidence and competence.
- Provide guidance, clinical education, feedback, and
act as a preceptor or support role to ensure staff are integrated into our
services effectively.
- Support for Professional Development Coordinator and Clinical Educator
- Assist with clinical education, professional development activities, and coverage for the Professional Development Coordinator and Clinical Educator during planned and unplanned leave.
- Collaborate with the wider team to support anaesthetic technicians and trainees in their ongoing development.
About you
We are seeking an experienced Anaesthetic Technician or RNAA with a passion for clinical education and coaching. The ideal candidate will have a proactive approach to education, excellent communication skills, and the ability to provide tailored guidance, with a commitment to supporting the professional development of new and existing staff, ensuring they are confident, competent and well integrated into our team.
Required Skills and Qualifications:
- Excellent communication skills with the ability to provide constructive feedback and guidance to staff at various stages of their career
- Proactive approach to problem solving and continuous improvement
- Ability to prioritise and manage multiple tasks effectively
- Passion for education, mentoring, and staff development
- Strong
communication, organisation, and leadership skills
- Registration and current APC with the Medical Sciences Council of New Zealand
- Minimum of 3 years post qualification experience
- Competency with te ao Māori, tikanga, and te reo Māori or a commitment to starting your journey and taking ownership of your learning and growth
- Work collaboratively, as a team player ensuring continuity of education during planned and unplanned leave
- Encourage a supportive and engaging learning environment
- Experience in projects / initiatives which give effect to Te Tiriti principals and frameworks, and the application of Mātauranga Māori and Kaupapa Māori approaches, particularly as they apply in healthcare settings
- Previous experience in clinical education or supervision is advantageous
- Post graduate qualification in clinical education or adult learning is advantageous

About the role
Te Whare Manaaki is an acute medium secure inpatient unit within the Forensic Mental Health Service. The service provides specialist assessment, treatment and rehabilitation for tāngata whaiora who, as a result of mental illness, have seriously offended or are assessed as being at high risk of serious offending.
Forensic mental health nursing brings together therapeutic mental health care with the management of complex clinical, behavioural and forensic risk. The environment is dynamic and requires strong nursing leadership, sound clinical judgement, effective communication and an ability to maintain a therapeutic, recovery-focused approach while supporting the safe and secure operation of the unit.
As Associate Charge Nurse Manager, you will provide day-to-day operational leadership of Te Whare Manaaki and support the Charge Nurse Manager with the effective running of the unit. You will coordinate staff and nursing resources, respond to changing acuity and operational demands, and provide visible senior nursing leadership to the team. The position description also requires the ACNM to work across Forensic Mental Health Service to support operational functioning, workforce management, care coordination and tangata whaiora flow.
This is a predominantly operational senior nursing role, while also having an important part in promoting clinical excellence, professional nursing practice, teaching, learning, quality improvement and positive outcomes for tāngata whaiora and their whānau.
The role works a rotating four days on/two days off roster across morning and afternoon shifts.
About you
You will be an experienced mental health nurse who is comfortable providing leadership within a busy and complex inpatient environment. You will be able to balance the immediate operational needs of the unit with the provision of safe, equitable, culturally responsive and high-quality care.
Working alongside the Charge Nurse Manager, Clinical Nurse Specialist and wider multidisciplinary team, you will provide leadership to the nursing team and support a culture of professionalism, accountability, respect and continuous improvement.
A key part of the role is coordinating and responding to escalating clinical and operational situations, supporting workforce and resource management, providing CNM cover when required, and contributing to staff success and development planning, performance management, quality assurance and improvement activities.
You will be a visible and approachable leader who can make sound decisions under pressure, communicate clearly, support staff through challenging situations and maintain effective relationships across the wider Forensic Mental Health Service and Specialist Mental Health Services.
Cultural responsiveness and a commitment to equity are particularly important within forensic mental health. You will role-model professional, equitable, tikanga-informed and inclusive practice and work alongside cultural supports to ensure the voice and aspirations of Māori and Pacific tāngata whaiora are reflected in the planning and delivery of care.
Skills and experience
To be successful in this role, you will:
- Hold a current Nursing Council of New Zealand Registered Nurse practising certificate with scope to practise in mental health.
- Have a minimum of three years’ post-registration nursing experience within a tertiary-level specialist mental health service.
- Have strong clinical credibility and the ability to provide effective nursing and operational leadership.
- Have an in-depth understanding of the health sector and issues affecting tāngata whaiora and equity in healthcare.
- Have experience implementing Te Tiriti o Waitangi in practice and be able to apply its principles meaningfully within your leadership role.
- Be receiving clinical supervision and be willing to be trained to provide clinical supervision to other SMHS clinicians.
- Must either hold or be working towards a relevant post graduate diploma.
- Demonstrate strong communication, relationship-management and decision-making skills.
- Be able to respond effectively to changing clinical acuity, risk and operational pressures.
- Be self-motivated, flexible, organised and solutions-focused.
