About the role

We are looking for a skilled Administrator to join our Gastroenterology team at Waitaha Canterbury. This vital role provides key administrative and logistical support to the Gastroenterology Day (Endoscopy) and the clinical team, to help ensure that patients receive timely care in line with Waitaha Canterbury and Ministry of Health (MoH) guidelines.

Key Responsibilities:

  • Customer Service: Provide excellent Front Desk/Reception customer service to patients, clinicians, and other stakeholders while maintaining patient confidentiality and privacy at all times.
  • Front of House Duties: Welcome patients coming in for procedures, check and update patient demographics in the management system, and monitor the waiting room for patient wellbeing.
  • Ownership of the administrative requirements for the daily running of the ward including assembling and distributing clinic lists and patient files, management of acute procedure requests and inpatient arrivals, and monitoring emails and phones.
  • Patient Management System (SI PICS): Use of SI PICS and other clinical systems specific to managing patient information and bookings, ensuring accuracy, timely data entry, and adherence to Planned Care (MoH) requirements.
  • Transcription: Dictated letters are completed within set timeframes (usually 3-5 days), written work is presented and accurate, all letters and outgoing correspondence is processed and distributed within 24 hours of sign-off by clinicians

Skills and experience

Essential Skills & Qualifications:

  • Proven customer service skills with a people-focused approach.
  • Proficient in data systems and able to quickly learn new applications.
  • Excellent independent, organizational, time management, and problem-solving skills.
  • High level of accuracy and attention to detail, with the ability to meet deadlines independently.
  • A collaborative team player with mature communication skills (both written and verbal).
  • Intermediate to advanced proficiency in Microsoft Office (Word, Outlook, Excel).
  • Demonstrated perceptiveness and a sensible and proactive approach in previous administrative roles.

Desired Skills:

  • Previous experience in a healthcare administrative role.
  • Awareness and understanding of different cultural backgrounds.
  • Knowledge of medical terminology and familiarity with the public hospital system, including patient management systems.
